How Westlands Heating Limited collects, uses and protects your personal data, and the rights you have over it under UK data protection law.

This policy explains what we do with personal data you give us through this website, over the phone or in the course of carrying out work at your property. It applies to westlandsheating.co.uk and to enquiries that reach us through it.

What we collect

We only ask for what we need to answer your enquiry and carry out the work.

Information you give us

  • Your name, telephone number and email address.
  • The address of the property the work relates to.
  • Details of your enquiry, such as the make and age of your boiler or the fault you are reporting.
  • Any other information you choose to include in a message, on a call or in our website chat.

Information collected automatically

  • Technical data such as your IP address, browser type and the pages you viewed, gathered by the third party tools listed below.
  • Cookies and similar technologies set by our enquiry form and chat widget. These are described in the cookies section.

We do not ask for card or bank details through this website, and we do not knowingly collect data from children.

Why we use it, and our lawful basis

UK GDPR requires us to have a lawful basis for using your data. Ours are set out below.

Who we share it with

We do not sell your data, and we do not share it for anyone else's marketing. We use the following providers, who process data on our instructions.

We may also share data with our accountant, our insurers, or a regulator such as the Gas Safe Register or HMRC where we are required to. If a third party ever needs your data for a reason not listed here, we will tell you first.

Where your data is held

Some of these providers store or access data outside the UK, including in the United States. Where that happens, the transfer is covered by the safeguards UK law requires, such as the International Data Transfer Agreement or an adequacy decision. You can ask us for details of the safeguards that apply.

How long we keep it

  • Enquiries that do not become a job are kept for up to two years, then deleted.
  • Customer records, invoices and gas safety documentation are kept for at least six years, because tax and gas safety rules require it.
  • Records relating to a warranty or a cover plan are kept for as long as the cover runs, plus six years.

When a retention period ends we delete the data or anonymise it so it can no longer identify you.

Cookies

This site does not use advertising cookies. We use Google Analytics to count visits and see which pages and buttons (such as call buttons) get used, so we can improve the site. It sets first-party cookies for that purpose only, Google's advertising features are switched off, and the data is not used to target ads. You can turn it off below and it stays off on this browser.

Other cookies are set by embedded tools.

  • The enquiry form and chat widget set cookies needed to run the conversation and remember your session. The form asks for cookie consent where that is required.
  • The Google review feed on our reviews page may set cookies when it loads.

You can block or delete cookies in your browser settings. Doing so may stop the enquiry form or chat from working properly.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct anything that is wrong or incomplete.
  • Ask us to delete data, where we have no continuing reason to keep it.
  • Ask us to restrict how we use it while a concern is looked into.
  • Object to processing we carry out on the basis of legitimate interests.
  • Ask us to transfer data to you or another provider in a portable format.
  • Withdraw consent at any time, where we relied on consent.

Marketing

If you are an existing customer we may contact you about a service due or a cover plan, because it relates to work we have already done for you. Every message includes a way to opt out, and you can tell us to stop at any time. We do not send marketing to people who have only made an enquiry unless they asked us to.

Keeping your data safe

Access to enquiry and customer records is limited to the people who need it. Our providers hold data on access controlled systems, and this website is served over an encrypted connection. No system is perfectly secure, but if a breach ever put your rights at risk we would tell you and the Information Commissioner's Office.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection.
